Risk management policy checklist

The vehicle

Clearly detail what the company will provide to the employee as part of their contract and what is expected of the driver in return.

For example, details of regular maintenance checks that must be carried out by the driver. It should also outline the companys policy to using private cars for business use.

Driving licences

This section should cover the company policy on driving licence checking and how often this will be carried out.

This may also include details on checks of named drivers.

It should also be made clear that the employee must notify the company about any licence endorsements in between checks.

Mobile phones

As from December 1, 2003 it became illegal to use a hand-held mobile phone while driving.

The company must decide whether its policy should meet these minimum requirements or extend further to prohibit the use of hands free kits.

Accidents

The policy should include details of what processes an employee should follow if they are involved in an accident and who they should notify.

This may also include advice about what to do in a breakdown situation.

Fitness to drive

This section of the policy should include the companys approach to eyesight testing, any health checks required and drugs and alcohol policy.

It should also stress the responsibility of the employee to notify the company of any medical conditions.

Driving hours should also be covered and the maximum time employees are expected to drive without having a break.

Smoking

Although there is currently no clarity as to whether the total ban on smoking in public places will extend to those whose vehicles act as their place of work, some businesses may choose to ban smoking in company cars for health and safety reasons.

Personal safety

Some companies choose to include a section in the fleet health and safety policy giving advice to employees on how to reduce the risk of crime and protect personal safety.
